AI Chatbot for Business: Automatic Replies to Customers
A customer writes in Telegram in the evening asking about price or delivery and gets an answer only in the morning, by which time they have already bought from a competitor. An AI chatbot solves exactly this problem: it replies at once, understands questions written in the customer's own words and relies on your company's data. We cover how an AI chatbot differs from a regular one, how it works, how to prepare it for launch and where to be careful.
How an AI chatbot differs from a regular bot
A classic Telegram bot works with buttons and a pre-written scenario: the customer taps "Catalog" and the bot shows a list. But if someone writes "do you have the same one in red, a size bigger, can you deliver to the region tomorrow?", a button-based bot will not understand.
A bot built on a neural network understands free text, works out the meaning of the question and forms an answer based on the company's information. As a rule it copes with typos, mixed Latin and Cyrillic script, and phrases half in Russian and half in Uzbek.
| Parameter | Button bot | AI chatbot | Hybrid |
|---|---|---|---|
| Understanding a free-form question | No | Yes | Yes |
| Accuracy of the answer | Pre-written, exact | Depends on the knowledge base | Strict scenario at key points |
| Placing an order | Convenient | Possible, needs oversight | Convenient via buttons |
| Setup complexity | Low | Needs a knowledge base and tests | Medium |
| When it fits | The process is strictly defined | Questions are varied | Most companies |
In practice a hybrid most often wins: ordering, payment and booking go through buttons, and free-form questions are handled by AI.
How an AI chatbot works
A simplified outline:
- The customer writes a question or sends a voice message.
- The bot analyzes the request and looks for the needed information in the knowledge base: prices, terms, product descriptions, answers to frequent questions.
- The language model forms a natural answer based on what it found.
- If the data is missing or the question is hard, the bot says so honestly and hands the chat to an operator.
- The conversation and the customer's contacts are saved in the CRM or a table.
The key point: a properly set-up bot does not invent answers but relies on your knowledge base. For this, restrictions are set that forbid it from speculating about things that are not in the base.
The knowledge base is the main preparation step
The quality of the answers is almost entirely determined by the quality of the data the bot receives. What to do:
- Collect recurring questions. Go through the managers' Telegram conversations: what do customers ask again and again?
- Write reference answers. Short, accurate and consistent.
- Decide where prices and stock come from. This data changes fast, so it is more reliable to pull it automatically from the inventory software or CRM rather than type it in by hand.
- Set the prohibitions. What the bot does not discuss: it does not promise discounts on its own initiative, give legal or medical advice, or talk about competitors.
- Set the tone. Formal "you" address, an official or friendly style, the language of the reply.
Handing off to an operator and quality control
An AI bot does not replace the team; it takes over the first line. Think through in advance:
- in which cases the chat goes to an operator: a complaint, a large order, low confidence from the bot;
- whether the operator sees the conversation history so they do not have to ask the customer again;
- whether the bot tells the customer outside working hours when a live employee will reply;
- whether the manager can review the bot's answers and fix mistakes in the knowledge base.
Where to put the bot
In Uzbekistan the most logical channel is Telegram: customers write there most often. An AI assistant can also be connected to a website chat, a mobile app or an internal system for employees. If one knowledge base serves several channels, the information only has to be updated in one place.
Usually Telegram bot development and connecting AI to it are done within a single project. For more complex tasks such as processing documents or voice messages, more advanced AI solutions are used, and requests from the bot can go straight into a CRM system.
Who it is especially useful for
- Online stores: availability, sizes, colors, delivery terms.
- Training centers: courses, schedule, payment procedure, signing up for a trial lesson.
- Clinics and beauty salons: services, specialists, booking an appointment (the bot should not give medical advice).
- Wholesalers: catalog, minimum order terms, delivery zones.
- Service companies: taking requests, calling a technician, work status.
What the cost depends on
- The size of the knowledge base and who prepares it.
- Integrations: inventory, CRM, payment.
- The number of channels: Telegram only, or also a website and an app.
- Whether voice message processing is needed.
- The chosen language model and the volume of requests.
- An operator panel and reporting.
The exact price depends on the task and is calculated after the requirements are clarified.
Typical mistakes
- Filling the knowledge base once and never updating it.
- Letting the bot pretend it knows everything.
- Leaving the customer no way to reach a live operator.
- Launching without testing on real customer questions.
- Hiding the fact that the customer is talking to a bot, which undermines trust.
Frequently asked questions
What happens if the bot answers incorrectly?
To reduce the risk, the bot relies only on the knowledge base, hands the chat to an operator when in doubt, and its answers are checked regularly. There are no completely error-free systems, so oversight is essential.
Will the bot work in Uzbek and Russian?
Yes, the bot can be set up to answer in the language the customer wrote in. The quality of Uzbek answers is checked separately before launch.
Can AI be added to an existing Telegram bot?
Most often yes: the button scenario is kept and an AI module is added for free-form questions. It all depends on the technology the current bot is built on.
