Courier App: Which Features a Delivery Business Needs
When delivery is run through phone calls and messages in a Telegram group, confusion starts very quickly: which courier has which order, when he will reach the customer, who holds the cash, and nobody knows for sure. A courier app turns this chaos into a system. Let us look at which features a courier app should have, what parts a delivery system consists of, and what mistakes are most often made at launch.
A delivery system has three parts
A courier app does not work on its own. It is usually part of a larger system:
| Part | Who uses it | Main task |
|---|---|---|
| Customer side | Buyer | Place an order and follow its status (app, website or Telegram bot) |
| Courier app | Courier | Accept an order, deliver it, record payment |
| Dispatcher panel | Operator, manager | Order distribution, control, reports |
All three parts are connected through one server. The courier changes a status, the dispatcher sees it immediately, and the customer gets a notification.
Which features a courier app needs
Receiving orders
When a new order comes in, the courier gets a push notification with a sound. The order card has everything needed: address, landmark, customer phone, comment, contents, amount and payment method. The courier accepts the order or declines it with a reason.
Statuses
Every order goes through clear stages: "accepted", "picked up", "on the way", "delivered" or "problem". The status changes with one tap and is passed to the dispatcher and the customer automatically. The operator no longer has to call to answer the question "where is the courier?".
Address and navigation
In Uzbekistan an address is often explained through a landmark: "near the bazaar", "across from the school". That is why a point on the map in the courier app is extremely important. If the customer sent their location through Telegram or the app, the courier opens it in a familiar navigator with one tap. The text address and landmark must also be in plain view.
Contact with the customer
A call button, a short message and ready-made notifications like "I'm at the door" save the courier's time. The customer's number can be shown only for the duration of an active order.
Accepting payment
Cash, a card transfer or payment via a terminal: each method is recorded in the app. The amount of cash the courier is carrying is calculated automatically and reconciled when handed in at the end of the shift. This removes most disputes about unaccounted money.
Delivery confirmation
Depending on the task: a photo of the order, a confirmation code from the customer, or a signature on the screen. This is especially important when delivering expensive goods and documents.
Shift and earnings
The courier opens and closes the shift in the app and sees the list of completed orders. If pay depends on the number of deliveries, calculating earnings in the app makes it transparent.
Offline mode
In some areas mobile internet is weak. A good courier app works without a connection too: status changes are saved on the phone and sent to the server as soon as the internet appears.
GPS tracking
During the shift the courier's location is visible on the dispatcher's map, and if necessary to the customer too. To save the battery, coordinates are updated at a reasonable interval and only during the shift.
The dispatcher panel is the second half of the system
The courier app's value is fully realized together with the dispatcher panel. It has:
- all couriers on the map and their load;
- manual or automatic order distribution, for example to the nearest or least busy courier;
- warnings about delayed orders;
- reports on delivery time, courier performance and cash.
In what order to add features
| Feature | Who benefits | In the first version |
|---|---|---|
| Order list and statuses | Courier, dispatcher | Yes |
| Opening in a navigator | Courier | Yes |
| Recording payment | Accounting | Yes |
| Push notifications | Courier | Yes |
| Live GPS tracking | Dispatcher, customer | Depends on the task |
| Photo confirmation | Control | Depends on the task |
| Offline mode | Courier | Depends on coverage |
| Auto-distribution | Dispatcher | Usually later |
| Earnings report | Courier | Later |
Integrations
A courier app brings the most value together with other systems. An order from the website, the customer app or a bot automatically reaches the dispatcher. With integration into an inventory and POS system, delivered goods are written off from stock, and the payment appears in the cash report. A link with the CRM keeps the order history of each customer.
Mistakes at launch
- A complicated interface. The courier works outdoors, in the sun, sometimes wearing gloves. Buttons should be large, text readable, and the main actions one tap away.
- Couriers were not trained. A short instruction and support during the first days remove a lot of questions.
- The customer does not receive statuses. If the app is used only for internal control, calls to the operator will not decrease.
- Cash accounting stayed on paper. The most important part of control does not work.
- Tested only on a new phone. Couriers have different phones, so you need to check old models too.
Bot or app?
If there are few orders and the process is simple, a Telegram bot may be enough for couriers: the order arrives as a message, and the status changes with buttons. But if you need background GPS tracking, work without internet and a convenient map, a separate courier app is preferable.
UFLEX develops the delivery system as a whole: the customer side, the courier app and the dispatcher panel are built around one server. More details are on the mobile app development page.
FAQ
Can couriers use their personal phones?
Yes, usually the app is installed on the couriers' own Android phones or iPhones. It is important that it is tested on different devices.
Does a small business need a courier app?
Even with a few couriers and a steady flow of orders, it brings order to statuses and cash accounting. For a start, a simple version or a bot may be enough.
A ready-made service or our own app?
A ready-made service launches quickly but may not fit your process. A custom system connects fully with the warehouse, POS and CRM, and the data stays with you.
