Sales Agent App: Orders, Routes and Customer Debts
In wholesale and distribution companies, sales agents spend all day visiting shops and collecting orders. Often these orders are written in a notebook, sent as a photo on Telegram or dictated by phone, and then an operator in the office types them in again. That brings mistakes, delays and a complete lack of control. Let's look at what problems a sales agent app solves, which features it needs and how to introduce it.
What problems a sales agent app solves
- Double entry. An operator retypes paper orders by hand: time and mistakes.
- Wrong prices. The agent works from an old price list or gives discounts at their own discretion.
- Orders for items out of stock. The customer is promised something that has already run out in the warehouse.
- Visit control. It's unclear whether the agent was at the shop or just called.
- Debts. The agent ships a new batch without knowing how much the shop already owes.
- Cash. It's hard to verify that the money collected reached the till on time and in full.
Core features
Outlets
A shop card: name, address, landmark, contact person, phone, geolocation, and a photo if needed. The agent can add a new outlet themselves, and the manager confirms it.
Taking orders
A catalog with photos, categories, search and a cart. The agent sees the price type assigned to the outlet: retail, wholesale or a special price. The minimum order amount, discount rules and a comment field are here too.
Stock and prices
Warehouse balances and current prices are pulled in automatically. The agent immediately sees whether there is enough stock and offers only what is available.
Debts and payments
The current debt of each outlet, the latest payments and overdue amounts. The agent accepts payment and marks it in the app, and the office sees it right away. For an outlet that has exceeded its debt limit, a new order can be placed only with permission.
Routes and visits
The route for the day: which outlets to visit. On arrival the agent checks in the visit, and the system records the geolocation. If there is no order, the agent picks a reason: still has stock, owner not there, didn't like the price. This is valuable data for sales analysis.
Photo reports and returns
A photo of the shelf display and requests to return damaged or expired goods are also done from the app.
Agent metrics
Plan vs. actual, number of visits, average order. When agents see their own results, motivation grows too.
The office side: the app doesn't work alone
The agent app is the "field" part of a common system. In the office a supervisor sees the agents on a map, orders go to the warehouse for picking, a logistician plans delivery, and an accountant tracks debts. The center is usually a CRM or ERP system. If a company already has accounting or warehouse software, the app connects to it through an integration.
Why offline mode is a must
Agents work in bazaars, basement shops and areas with weak internet. An app that works only online fails at the moment it's needed most. So the catalog, prices and customers should be stored in the phone's memory, and orders should first be saved locally and sent to the server when a connection appears. A separate rule is worked out for the case when several agents order the last remaining stock at the same time.
What an agent's working day looks like with the app
In the morning the agent opens the app and sees the route for the day and the debt of each outlet. At the first shop they check in the visit, photograph the display and, together with the owner, build an order from the catalog, with prices and stock right on the screen. The owner pays off part of the old debt, and the agent marks the payment in the app. The order goes straight to the warehouse and picking begins. In the evening the agent sees their results and the money collected without calling the office, and the supervisor checks the whole team's totals on one screen.
Which features to build first
| Feature | What it gives | When to add |
|---|---|---|
| Order taking and catalog | Double entry disappears | First stage |
| Outlets and debts | Control over receivables | First stage |
| Stock and prices | No orders for items out of stock | First stage |
| Visit check-in and geolocation | Verifying the agent's work | First or second stage |
| Route planning | Time savings | Second stage |
| Photo reports | Display control | Second stage |
| Plan and bonus calculation | Motivation | Second stage |
Choosing a platform
Find out which phones the agents use. If the company provides the phones, you can start with one platform and save money. If agents use personal devices of different brands, a cross-platform solution for Android and iOS is more convenient. With mobile app development this question is settled at the very beginning.
Implementation stages
- Prepare the data. Put outlets, products, price types and current debts in order.
- Start with a few agents. Choose those who work in different districts.
- Collect feedback. Fix what is inconvenient in field conditions.
- Connect everyone. Give each person short training.
- Fix the rule. An order is accepted only through the app; photos on Telegram and phone calls don't count.
How to reduce agents' resistance
Some agents see the app only as surveillance. Show them the benefits: fewer calls to the office, clear responsibility for order mistakes, transparent bonus calculation. If the app is simple and fast, it is accepted without long persuasion.

Frequently asked questions
Is it okay to track agents' geolocation?
The app can be configured so that coordinates are recorded only when a visit is checked in. Warn employees in advance and check the current requirements in official sources.
Will the app work with our accounting software?
Most often yes: orders, balances and payments are passed through an integration. The method depends on your software's capabilities.
How much does a sales agent app cost?
It depends on the features, platforms, complexity of offline mode and integrations. The exact price depends on the task: leave a request and we'll estimate it.
