Retail Store Software: POS, Inventory and Customer Records

In the evening the cash in the drawer doesn't match the notebook, nobody knows the exact stock levels, and the list of customers who took goods on credit lives in the salesperson's phone. It's a familiar picture for many shops in Uzbekistan. In this article we look at what problems store software solves, what modules it is made of, how to choose between an off-the-shelf and a custom solution, and how to automate a store without unnecessary losses.

Why a store needs an accounting system

Automation is not just buying a computer and a receipt printer. Its purpose is to give the owner control and take the routine off the staff. In a store where records are kept in a notebook or Excel, the same problems tend to show up:

  • Cash discrepancies. At the end of a shift cash, card payments and transfers don't add up, and the cause is hard to find.
  • Unknown stock levels. You learn that an item has run out from a customer, while other items sit untouched for months.
  • Price confusion. When a new batch arrives the prices aren't updated, and different salespeople sell the same product at different prices.
  • Debts out of control. Credit sales (nasiya) are written in a notebook and repayment dates are forgotten.
  • The owner is tied to the shop. Without reports, the only way to control the business is to be there in person.

Properly configured store software gathers all this data in one database and shows it to the owner, even from a phone.

Core modules: till, inventory, customers

Till (POS)

The till module is the heart of sales. It handles fast barcode sales, receipt printing, discounts, returns, and cash, card and mixed payments. Opening and closing shifts makes every cashier's responsibility transparent. If your area has internet outages, it's important that the till works offline and syncs the data once the connection is restored.

Inventory

The inventory module tracks receipts, issues, transfers and stocktaking. Every sale automatically reduces the balance, and you get a notification for items that have reached their minimum stock. A chain of several outlets needs transfers between branches and separate balances for each store. More on this on our page about inventory and POS systems.

Customer database and debts

A customer card stores the purchase history, current debt and bonuses. For wholesale customers you can set a separate price type, a deferred-payment period and a debt limit. Based on this data it's easy to send regular customers reminders and promotions via Telegram or SMS. If managers, orders and delivery are part of your sales, it makes sense to connect the till with a CRM system.

Reports

For the owner the most valuable thing is reports: daily revenue, profit, best and worst sellers, results by cashier, and a list of debtors. All of this should open on a phone, without a trip to the store.

Off-the-shelf software or custom development

There are plenty of ready-made programs for stores, but custom development is a separate path. The choice depends on how standard your processes are.

Criterion Off-the-shelf software Custom system
Launch Fast, only setup is needed Requires analysis, development and testing
Fit with your processes You adapt to the software The software adapts to you
Modifications Within what the vendor allows Any feature can be added
Integrations Limited to a ready-made list Bot, website, accounting and other services
Data ownership On the provider's servers On your server or a place you choose

An ordinary retail store is often fine with off-the-shelf software. If you have wholesale sales, several branches, your own pricing policy or take orders through Telegram, a custom system may turn out to be more convenient in the long run.

How to automate a store step by step

  1. Describe your processes. How goods arrive, how they are sold, how returns, debts and stocktaking are handled: put it all on paper.
  2. Prepare the product catalog. Names, units of measure, barcodes, categories and prices must be brought to a single format. This is the most labor-intensive and the most important stage.
  3. Choose the equipment. A computer or tablet for the till, a scanner, a receipt printer, scales if needed. Check compatibility with the software in advance.
  4. Enter opening balances. Do a full stocktake and enter the real balances: a mistake at the start will spoil every report that follows.
  5. Train your staff. Short instructions separately for cashiers, the storekeeper and the manager.
  6. Test period. For a while keep the old and the new records in parallel and compare the discrepancies.
  7. Set up roles and permissions. Discounts and receipt deletion only with a senior's approval.

Typical mistakes

  • Trying to automate everything at once. First the till and inventory, then customers and reports: going step by step is more reliable.
  • Chaos in the catalog. If one product is entered under three names, reports lose their meaning.
  • No backups. If the database is stored on a single computer, the whole history is lost when it breaks.
  • Not asking the staff. An inconvenient interface for the cashier means queues and errors.
  • Ignoring fiscal requirements. Check the current requirements for online cash registers and receipts in official sources, and ask the developer whether the system complies with them.

What the cost depends on

The cost of store software can't be named as a single figure in advance. It is made up of several factors:

  • the number of branches and checkout stations;
  • the set of modules: till, inventory, debts, loyalty system, production accounting;
  • integrations: Telegram bot, online store, payment systems, accounting;
  • whether you need a mobile app or a separate owner panel;
  • the volume of data migrated from the old database;
  • the server, support and future improvements.

The exact price depends on the task: describe your requirements in a request and we will prepare an estimate.

Frequently asked questions

Does a small store need software?

Yes, especially if there are many items and credit sales. Even simple till and inventory records noticeably reduce discrepancies and loss of goods.

Will the software work without internet?

It depends on the architecture. The till is often designed to work offline and send the data to the server once the connection is restored.

Can I move my old database from Excel?

As a rule, yes. Before the migration it's best to clean up products, customers and debts and bring them to a single format.
