Distribution Software: Warehouse, Orders, Delivery and Debts

A distribution company manages many processes at once: goods arrive from manufacturers, are picked in the warehouse, orders come in from agents and shops, trucks are loaded, and debts change every day. If all of this is kept in different notebooks and Excel files, the manager doesn't see the overall picture and doesn't understand where the money is getting stuck. Let's look at what blocks distribution software should consist of, what path an order takes in the system and how to introduce it.

Features of the distribution business

Software built for an ordinary store doesn't suit a distributor, because here:

  • there are many product items and even more outlets;
  • different customer groups have their own prices and discount rules;
  • a significant share of sales is on credit with a deferred payment;
  • goods aren't simply sold but picked, loaded and delivered;
  • manufacturers run promotions and give bonus goods that must be recorded correctly;
  • returns, damaged and expired goods are an everyday situation.

What distribution software consists of

Purchasing and suppliers

Orders to manufacturers, receiving, settlements with suppliers. If transport and loading costs are included in the cost price, you can see the real profit for each item.

Warehouse

Several warehouses, batches and expiry dates, transfers. Picking lists are generated from orders, and picked goods are reserved. This block is often built on the basis of an inventory and cash register system.

Orders

Orders come from different channels: a sales agent app, a phone operator, a Telegram bot or a personal account for shop owners. Whatever the channel, the order lands in one common list and is checked by the same rules.

Pricing policy

Price types (wholesale, large wholesale, dealer), customer groups, promotions, bonus goods for a certain purchase volume. An agent or operator shouldn't give discounts at their own discretion: the allowed limits are set in the system.

Debts and credit limits

A debt limit and payment term for each customer. If the limit is exceeded or a payment is overdue, a new order is automatically blocked or requires manager approval. A reconciliation statement with a customer is generated in a couple of clicks.

Delivery

Orders are distributed into trips and a truck loading list is generated. The delivery driver sees on their phone what to take and where, and marks the delivery and the money received.

Returns and defects

A return is accepted with a stated reason, the customer's debt decreases automatically, and defects are recorded separately.

Reports

Sales by product, customer, agent and territory; profitability of items and customers; debt structure by term; slow-moving stock. Reports for manufacturers are built from the same data.

An order's path through the system

Stage Who does it What happens in the system
Intake Agent, operator or bot The order is created, the stock and debt limit are checked
Confirmation Manager Prices and discounts are checked
Picking Storekeeper A picking list is generated, goods are reserved
Loading Logistician Orders are assigned to a trip
Delivery Delivery driver Delivery is marked, payment is accepted
Accounting Accountant The debt is updated, data goes into reports

At every stage the order status is visible to everyone. When a customer asks "where is my order?", the operator can answer immediately.

Indicators the manager sees every day

The main benefit of distribution software is that the manager starts the day not by waiting for reports but with concrete numbers. The dashboard usually shows:

  • today's orders: accepted, picked, delivered;
  • overdue debts and customers over their limit;
  • items running out and the order to the manufacturer;
  • plan fulfillment by each agent and territory;
  • trips on the road and cash in the delivery drivers' hands.

It's important that these indicators open from a phone as well: even outside the office the manager keeps the situation under control and steps in on time if something goes wrong.

Orders from shops via Telegram

In Uzbekistan shop owners actively use Telegram. So, in addition to agents, there is one more convenient channel: a B2B Telegram bot, where the owner of an outlet sees the catalog, their own prices and debt and places an order at any time. The order goes straight into the distribution software. The bot doesn't replace the agent's visits, but it helps not to lose orders between them.

Ready-made software or a system for your process

For a small distributor, ready-made trade and warehouse software may be enough to start. But with a complex pricing policy, several warehouses and territories, and the need to connect an agent app, delivery and accounting, a CRM and ERP system built around your process will give more benefit.

Implementation order

  1. Directories. Cleaning up products, customers, price types, territories and the list of agents.
  2. Warehouse and orders. First, stock balances and order intake must work correctly.
  3. Debts and limits. Current debts are reconciled with customers and entered into the system.
  4. Agent app and delivery. Field employees are connected.
  5. Reports and analytics. Once data has accumulated, management reports are set up.

Common mistakes

  • Entering current debts without reconciliation: disputes with customers start from day one.
  • Not restricting discount rights.
  • Trying to launch everything at the same time.
  • Not training delivery drivers and storekeepers, who are in fact the most active users of the system.

How UFLEX can help

UFLEX is an IT team from Namangan. For distribution companies we combine the warehouse, orders, agent app and reports into one system, host it on a server, train staff and support it. We work remotely with companies from Tashkent and other cities of Uzbekistan.

Frequently asked questions

Can several warehouses and territories be managed in one system?

Yes. Each warehouse and territory has its own balances and reports, and the manager also sees the overall picture.

Will it become easier to prepare reports for manufacturers?

Yes. Sales, stock and promotion data are collected in the system, and a report in the required form can be set up once.

How much does distribution software cost?

It depends on the number of warehouses and users, and on whether there is an agent app, a bot and integrations. The exact price depends on the task: leave a request and we'll estimate it.
