Shop Debt Tracking: Software Instead of a Paper Debt Notebook

In neighborhood shops, selling on credit is routine: a regular customer is trusted, and they pay off the debt from their salary. But a paper notebook can be lost, get wet, or be filled in so that nobody can later make sense of the entries, and that leads to disputes and money that never comes back. We'll look at what's wrong with a debt notebook, what debt tracking software for a shop can do, how to remind customers about payment and which rules for lending on credit are worth introducing.

Problems of a paper debt notebook

  • Risk of loss. If the notebook goes missing or gets torn, restoring the debts is almost impossible.
  • Everyone writes in their own way. One seller writes a name, another a nickname, a third only the amount.
  • Disputes. If a customer says "I didn't take that", an entry in a notebook is a weak argument.
  • The total is unknown. To understand how much money is tied up in debts altogether, you have to leaf through the whole notebook.
  • Old debts are forgotten. Entries from several months ago get lost between the pages.
  • No control. When the owner isn't in the shop, they don't know who was given how much on credit.

What debt tracking software can do

Customer card

Name, phone, address, comment and a debt limit. Searching by phone number prevents mixing up customers with the same name.

Sale on credit

The seller rings up the sale, chooses the "on credit" payment method and specifies the customer. The debt amount is recorded automatically, and the list of purchased goods is saved together with the receipt. That is why debt tracking is most convenient in the same system as the cash register and warehouse software.

Accepting payments

The customer can pay off the debt in parts. Each payment is accepted in cash or by card, and the balance is recalculated automatically.

Due dates and reminders

A payment due date is set for each debt. When the date approaches or has passed, the system shows the seller a list and can send the customer a polite reminder.

Debt limit

A maximum debt amount is set for each customer. On a sale above the limit the cashier gets a warning, and only the owner can confirm such a sale.

Reports

Total debts, overdue debts, the biggest debtors, debts by age. You can see what part of the shop's working capital is currently with customers.

The customer sees their debt in Telegram

An effective way to reduce disputes is to give transparency to the customer themselves. If you build a Telegram bot for the shop, the customer registers with their phone number and:

  • receives a message after each purchase on credit and each payment;
  • can see their current debt and purchase history at any time;
  • receives a reminder when the payment date approaches.

The customer sees every entry right away, and phrases like "I didn't know" become rarer. The bot should show each person only their own data. Check the requirements for storing personal data in official sources.

Notebook or software: a comparison

Criterion Debt notebook Debt tracking software
Finding the total of debts Count by hand With one tap
Purchase history A short entry Every receipt and item
In a dispute Word against word Date, receipt and seller as evidence
Reminders Depend on the seller's memory Automatic
Limit control None A warning at the register
Risk of loss High A backup copy is kept
Owner's control Only in the shop From a phone at any time

Rules for selling on credit

Software alone won't bring order; clear rules are needed:

  1. Who we lend to. For example, only regular customers entered in the system with a phone number.
  2. Limit. The maximum amount for each customer or group.
  3. Term. The date by which the debt must be paid off.
  4. Who approves. Exceeding the limit only with the consent of the owner or a senior seller.
  5. If the term has passed. A reminder, then a stop on new sales on credit.

Shops that sell in installments under a contract, such as home appliances and furniture, need additional functions: a payment schedule, a reminder for each payment, tracking of overdue payments. Check the terms of sale with deferred payment and in installments against the current requirements in official sources.

Daily control for the owner

The software lets the owner see the situation without being in the shop. At the end of the day a short report arrives on the phone: who was given how much on credit today, who paid how much, how the total of debts changed and whose term has expired. From this list the owner decides whom to call personally and for whom to temporarily suspend credit sales. If there are several shops, debts are visible for each separately and in total, and the work of sellers can be compared.

How to move from the notebook to the software

  1. Reconcile the debts. Where possible, confirm each entry from the notebook with the customer themselves.
  2. Enter the customers. Each one with a phone number, without duplicates.
  3. Enter opening balances. The confirmed amounts are recorded as the starting debt.
  4. Announce the rules. To both sellers and customers.
  5. Close the notebook. From that day on, new debts are recorded only in the software.

Common mistakes

  • Entering old debts without reconciliation and then arguing with every customer.
  • Not restricting sellers' right to exceed the limit.
  • Writing reminders in a rude tone: the customer will pay off the debt and go to another shop.
  • Keeping debts separate from the register, so goods and debt aren't linked.

How UFLEX can help

UFLEX is an IT team from Namangan. We develop a single system for shops that covers the register, warehouse and debt tracking, and when needed we add a Telegram bot for customers. We host it on a server and support it. We work remotely with shops from Tashkent and other cities of Uzbekistan.

Frequently asked questions

Do I need separate software for debts?

It is usually more convenient to keep debts inside the cash register software: the debt is tied to a specific receipt and goods. If you only need to keep track of debts, a simple separate solution is also possible.

Can a debt be recorded without internet?

Yes, if the register supports offline mode. When the connection is restored, the data goes to the server and the customer receives a notification.

How much does debt tracking software cost?

It depends on whether you need a register, warehouse, a Telegram bot and how many shops you have. The exact price depends on the task: leave a request and we will estimate it.

Want to give up the debt notebook and bring order to your debts? Leave a request or message us on Telegram, and we will prepare a proposal for debt tracking software and a bot for customers.
