Building Materials Store Software: Inventory and Credit Sales
Selling building materials is harder than running an ordinary shop: cement is sold by the bag, rebar by the meter or ton, tile by the square meter, paint by the liter. Tradesmen and foremen take goods on credit, large orders are delivered by truck, and the warehouse is spread across several sites. Running such a business in a notebook and Excel is almost impossible. In this article we look at what software for a building materials store must account for, which modules you need and how to introduce a record-keeping system.
What is special about selling building materials
An ordinary retail shop is often fine with ready-made POS software. A building materials store has particularities that the software has to account for:
- Several units of measure. Goods arrive in packs but are sold by the piece or by the meter. For example, a profile arrives in full lengths, and is cut for the customer.
- Wholesale and retail prices. The same product is sold at different prices to a private buyer, a tradesman and a construction company.
- Debts and limits. Regular tradesmen and foremen take material on credit and settle after the job is handed over.
- Delivery. Large orders are prepared with transport, loading and an address.
- Product variants. Tile differs by batch, paint by color, and there are also size and brand; tiles from different batches may differ slightly in shade.
- Pre-orders. Out-of-stock goods are ordered against an advance, and the customer is told when they arrive.
Which modules you need
Till and sales
Fast sales, discounts, payment by cash, card and transfer, mixed payment, returns. When you choose the customer type the price changes automatically. One receipt can include both goods and a delivery service.
Inventory and units of measure
Receipts, issues, transfers, stocktaking. For each product a main and additional units are set along with their ratio: bag and kilogram, pack and piece, sheet and square meter. For cut-to-length goods, balances and offcuts are tracked. If there are several warehouses, such as the shop, the main warehouse and an open yard, balances are visible for each separately. This part is built on top of an inventory and POS system.
Customers, debts and bonuses
The customer card holds purchase history, remaining debt, limit and payment term. A list of overdue debts is generated automatically for management, and the customer gets a reminder on Telegram or by SMS. Bonuses or cashback for tradesmen turn them into regular buyers. It's more convenient to work with such customers through a CRM system.
Orders and delivery
Order entry, accepting an advance, delivery date and vehicle. The driver or storekeeper confirms the handover of goods from a phone.
Suppliers and purchasing
Orders to suppliers, received batches, debt to suppliers. For items that have reached their minimum balance, a purchase list is prepared automatically.
Reports
Revenue and profit, sales by product group, the fastest-moving and slowest-moving items, debtors, results by cashier and branch.
Customer types and software settings
| Customer type | Particularity | What is configured in the software |
|---|---|---|
| Private buyer | Small purchases, immediate payment | Retail price, fast till |
| Tradesman or foreman | Regular purchases, often on credit | Special price, debt limit, bonuses |
| Construction company | Large volumes, with documents | Wholesale price, contract, non-cash payment |
| Other stores | Resale | Wholesale price, delivery schedule |
This division brings order to your pricing policy and cuts the cashier's "by eye" discounts.
Orders via a Telegram bot
Many tradesmen order materials straight from the job site, from a phone. A Telegram bot connected to the store software lets them view the catalog, check availability and their own price, place an order and see their current debt. The order reaches the system without the cashier re-entering it, and the storekeeper starts picking it right away. This is especially convenient when working with regular tradesmen and construction companies that buy regularly and in large batches.
Rollout order
- Clean up the product catalog. Bring names, brands, sizes and units of measure to a single format. For building materials this is the most labor-intensive work.
- Define price types. Write out the rules for retail, tradesmen, wholesale and other categories.
- Migrate the debts. Enter customer debts and debts to suppliers with exact balances.
- Do a stocktake. Recount the actual balances in all warehouses and yards.
- Separate the roles. The cashier, storekeeper, manager and driver see only the functions they need.
- Test period. In the first weeks reconcile the till and balances at the end of every day.
Typical mistakes
- Wrong units of measure. A mistake in the bag-to-kilogram ratio quickly pulls balances away from reality.
- Debt without a limit. Without limits and terms, receivables slip out of control.
- Delivery in a separate notebook. If orders and delivery aren't in one system, the customer waits for the goods.
- Guessing about documents. When working with companies, check the current requirements for invoices and receipts in official sources.
What the cost depends on
The price of building materials store software depends on the number of branches and warehouses, the set of modules (debts, bonuses, delivery, purchasing), the need for a Telegram bot or mobile app, integration with accounting and payment systems, the volume of old database migration and support. The exact cost depends on the task: leave a request and we will make an estimate for your trade.
Frequently asked questions
Will off-the-shelf software work for a building materials store?
If sales are mostly retail and the units of measure are simple, it may. When there are many credit sales, wholesale prices, cutting and delivery, a system adapted to your processes is more convenient.
Can tradesmen be reminded about debts automatically?
Yes. As the due date approaches or arrives, the software sends the customer a reminder on Telegram or by SMS, and management sees the list of debtors.
Can several warehouses and stores be managed in one program?
Yes. Balances at each location are visible separately, and transfers between them are recorded with a document.
