School Software: Attendance, Grades and Parent Communication
A class teacher marks attendance in a paper register, parents learn about a missed lesson only in the evening or not at all, and the accountant of a private school hunts for payments in Excel. The bigger the school, the more this mess costs. In this article we look at what school software can do, how to automate attendance, grades and parent communication, and how to introduce a school management system without resistance from teachers.
Why a school needs a management system
A school management system brings administration, teachers, students and parents into a single information space. It solves typical problems:
- Attendance is known late. Data from the paper register is collected at the end of the day or week.
- Parents are out of the loop. They learn about grades and absences only at a parent meeting or from the student diary.
- A lot of paperwork. A teacher rewrites the same data into the register, a report and a spreadsheet.
- Payments are hard to control. In private schools, finding debtors takes a lot of time.
- Management doesn't see the big picture. Analysis of performance by class and subject is prepared by hand.
Core modules
Attendance
Attendance can be tracked in different ways: the teacher marks students on a tablet or phone at the start of the lesson, while at the entrance a turnstile, QR code or face recognition terminal automatically records arrival and departure times. When working with a terminal, the software receives data from the device, links it to the student's card and immediately sends a notification to the parent.
E-gradebook and grades
The teacher enters grades, homework and comments, and the system itself calculates the final grades for the quarter and the year. Management sees performance by class, subject and teacher.
Timetable
A timetable that takes into account the availability of classes, classrooms and teachers. When a lesson is substituted, the change immediately reaches the teacher, the student and the parent.
Parent communication
Most parents in Uzbekistan use Telegram, so the most convenient channel is a school Telegram bot. Through it come notifications about the child's arrival, grades, homework, announcements and payment reminders. A separate mobile app for parents offers more: the child's full history, the timetable, correspondence with the teacher.
Payments and finance
For private schools and clubs: contract amounts, discounts, payment history, a list of debtors and reminders. Integration with online payment systems is possible.
Staff and reports
Teaching load, substitutions, working time tracking and summary reports for management. This part is often built on the principles of CRM and ERP systems.
Who sees what in the system
Roles in school software must be clearly separated. A typical distribution:
| Role | What they see and do | Device |
|---|---|---|
| Principal and deputies | All reports, attendance, performance, finances | Computer, phone |
| Teacher | Their own classes, gradebook, homework, marks | Phone, tablet |
| Class teacher | Full data for the class, messages to parents | Phone |
| Accountant | Contracts, payments, arrears | Computer |
| Parent | Only their own child's attendance, grades and payments | Telegram bot or app |
| Student | Timetable, homework, their own grades | Phone |
Proper separation of permissions matters for privacy too: a parent must not see other children's data.
Implementation stages
- Define the goal. Start with the most painful task, which is most often attendance and notifications to parents.
- Prepare the data. Lists of students, classes, teachers, subjects and parents' phone numbers.
- Choose the equipment. If you need automatic attendance, pick a turnstile or terminal with software compatibility in mind.
- Train the teachers. Hold a short practical session and appoint someone responsible for questions.
- Bring in the parents. Hand out the bot link at a meeting or in a message, and make joining as simple as possible.
- Expand step by step. After attendance comes the gradebook, then payments and reports.
Common mistakes
- Extra workload for teachers. If the software doesn't replace the register but is added on top of it, teachers stop using it.
- A complicated sign-in for parents. Every extra step reduces the number of people who connect.
- Neglecting data security. Data about children needs special protection; check the current personal data requirements in official sources.
- Duplicating government systems. State schools may be required to use mandatory platforms, so decide in advance how the internal system will work alongside them.
How to choose school software
Before choosing, get clear answers from the developer to these questions:
- Does the software work in Uzbek and Russian, and is the interface clear to teachers without training?
- Is it convenient to use from a phone, including on slow mobile internet?
- Can it be integrated with an attendance terminal, a turnstile and payment systems?
- Where is the data stored, how are backups made and who has access?
- Can a new module or report be added later?
- Who supports the system after rollout and where do you go when something fails?
If there are no clear answers, the system may look great in a presentation, but in practice teachers will reject it.
What the cost depends on
The price of school software depends on the number of students and branches, the set of modules (attendance, gradebook, timetable, payments), integration with terminals or turnstiles, the need for a Telegram bot and mobile app, the volume of data migration and the support terms. The exact cost depends on the task: leave a request and we will calculate it for your school's needs.
Frequently asked questions
Does the software suit both private and state schools?
Yes, but the set of modules differs. A private school cares about payments and contracts, while a state school cares about compatibility with the official platforms in use.
Is a parent app mandatory?
No. A Telegram bot is often enough: it doesn't need to be installed, and parents are already used to the messenger.
How does attendance via a face recognition terminal work?
The terminal records the time a student enters and leaves, the software receives this data and automatically notifies the parent. For this, the terminal model must support integration.
