Restaurant and Cafe Software: Orders, Kitchen and Inventory

A waiter writes the order in a notepad, passes it to the kitchen by word of mouth and totals the bill on a calculator. In the evening rush orders get lost, the cook prepares the same dish twice, and at the end of the month the consumption of meat and oil doesn't match the revenue. In this article we look at how restaurant software works, which modules a cafe needs, when a mobile app or Telegram bot is justified, and how to automate a restaurant without chaos.

How restaurant software works

Restaurant software combines the whole order journey in one system, from taking the order to payment and writing off ingredients. A typical scenario looks like this:

  1. The waiter picks a table on a tablet or phone and enters the order.
  2. The order automatically goes to the kitchen and bar printer or to a kitchen screen, and each station sees only its own items.
  3. When the guest asks for the bill, the receipt is already ready: service charge and discounts are calculated automatically.
  4. Every dish sold writes off ingredients from stock according to its recipe card.
  5. At the end of the day the owner sees revenue, popular dishes and ingredient consumption on their phone.

This is how a cafe automation system cuts errors and shows where every som came from and where it went.

Key modules for a cafe or restaurant

Floor and orders

A floor plan, occupied and free tables, moving an order to another table, splitting the bill, several receipts for one table. In large halls a mobile app for waiters fully replaces the paper notepad.

Kitchen and bar

A queue of orders on a kitchen screen or printer, cooking time, dish statuses: "received", "cooking", "ready". This almost completely removes the verbal passing of orders between the floor and the kitchen.

Till and payments

Cash, cards and transfers, service charge, discounts, opening and closing shifts. Every cashier action, such as a receipt cancellation or a discount, is saved in the history. This part is often built together with an inventory and POS system.

Recipe cards and inventory

For each dish there is a recipe: which ingredient and in what quantity goes into it. When the dish is sold, ingredients are written off automatically, and during a stocktake the calculated and actual balances are compared. This is the module that helps find theft and overuse.

Delivery and online orders

Orders from a Telegram bot, a website or an app should reach the system without the cashier re-entering them. Couriers, addresses and delivery statuses are tracked there too. In Uzbekistan most guests use Telegram, so a bot often becomes the first online channel.

What different formats need

Not every venue needs all the modules at once. The table will help you get your bearings:

Format Main task Priority modules
Fast food and chaykhana Fast till, heavy flow Till, kitchen screen, simple menu
Cafe Floor, waiters, ingredient tracking Floor plan, waiter app, recipe cards
Restaurant and banquet hall Reservations, banquets, several stations Reservations, banquet menu, printers per station
Delivery only Online orders, couriers Bot or app, courier panel, order statuses
Chain of venues Centralized control Reports by branch, shared menu and prices

When you need a mobile app

A mobile app solves two different tasks. The first is for staff: a waiter app and an owner app with reports. The second is for guests: menu, ordering, bonuses and delivery tracking. A customer app pays off when you have a regular audience and a noticeable volume of delivery. At the start a Telegram bot is usually cheaper and faster, and later it can be complemented with a mobile app.

Implementation stages

  1. Put the menu in order. Dishes, categories, modifiers (for example portion size), prices.
  2. Write the recipe cards. Together with the head chef, define the composition of each dish: don't put it off until later.
  3. Prepare the equipment. A till, tablets or phones for waiters, kitchen printers or a screen, stable Wi-Fi.
  4. Enter opening balances. Recount all the products in stock and enter them into the system.
  5. Train the staff. Separate short sessions for waiters, cooks, cashiers and the storekeeper.
  6. Trial days. Launch on a relatively quiet day and watch the first shifts closely.
  7. Restrict permissions. Receipt deletion and discounts only with the administrator's confirmation.

Common mistakes

  • Working without recipe cards. Then the software acts only as a till, and ingredient consumption stays uncontrolled.
  • Complete dependence on the internet. Ask in advance how the system behaves when Wi-Fi drops, so that order taking doesn't stop.
  • Transferring online orders by hand. That means errors and delays; the bot and website should be integrated with the system.
  • Infrequent stocktakes. Discrepancies pile up and finding their cause becomes impossible.
  • Ignoring fiscal requirements. Check the current requirements for receipts and online cash registers in official sources.

What the cost depends on

The price of restaurant software depends on the venue format: the number of branches and checkout stations, the number of kitchen stations, the need for waiter and guest apps, a Telegram bot and a delivery module, integrations with payment systems, migration of old data and further support. The exact cost depends on the task: leave a request and we will prepare an estimate for your requirements.

Frequently asked questions

Does a small cafe need software?

With a small menu and moderate traffic, a till and simple ingredient tracking are enough. A waiter app and reservations can be added later.

Can waiters work from their own phones?

Technically yes, but dedicated work devices are more reliable and safer. Decide based on the number of staff and the way you work.

Does an order from a Telegram bot go straight to the kitchen?

If the bot is integrated with the restaurant software, yes: the order arrives on the kitchen screen or printer just like orders from the floor.
