Challenge
The furniture is made to order: each order has its own client, agreed price, deadlines, and material and service costs. Several craftsmen do the work and are paid for completed work, as an advance or as a salary; the manager and the supplier also receive their share. The owner needed to see in one place, without notebooks, how much money each order has brought in, how much is still due and what profit remains.
Solution
UFLEX built a server, an admin panel and a portfolio website. Each order is opened in the system as a project with the client, manager, supplier, the dates it was received, started and delivered, its status (new, in progress, delivered, cancelled) and the agreed price.
Client payments (cash, card or on credit), expenses (materials, ready-made furniture, services, logistics — with a delivered flag) and manager and supplier payouts are added to the project. The paid and outstanding amounts and the profit are recalculated automatically on every change.
Craftsmen’s work is recorded in square metres with a price per square metre, then confirmed and paid — partial payments are possible. Work payments, advances and salaries go to the craftsman’s balance; craftsmen and managers sign in with their own accounts and see their settlements under “My balance”. Each role — administrator, manager, supplier and craftsman — sees only the sections it is allowed to.
Clients receive SMS automatically: when an order is accepted — with the agreed, received and outstanding amounts and the start and finish dates — and a thank-you message when the order is delivered. The administrator can send bulk SMS to selected clients from templates, and message delivery status is checked automatically. The client card also records how the client found the company: Instagram, Telegram, the website or a banner.
The dashboard shows income and expenses for a chosen period, project statistics, recent activity, clients and craftsmen. The portfolio website shows furniture by category — kitchens, bedrooms, children’s rooms and wardrobes — with contact via Telegram or phone.
